The following general terms and conditions are included in all contracts and agreements with ARAMARK Food Service. ARAMARK is contracted by Hampden-Sydney College; therefore, is the official College caterer for all on-campus events. Information on other specific arrangements is detailed on the corresponding guide pages. Please read carefully and plan accordingly.
Room Reservations
All room reservations must be scheduled and approved by the Office of College Events at 434/ 223-6114. Reservations should be made as early as possible.
Catering
After the room is reserved, please arrange for catering by calling Joy Donaldson, Catering Director for ARAMARK Catering Services, at 434/223-6251. All reservations should be made two weeks before the event. A tentative guest count is required at that time. Please note that all catering prices are subject to a 5% Virginia state tax where applicable.
Guarantee
A final guest count is required four working days before the event. Billings are based on guaranteed final counts, plus any additions. A 50% deposit will be required on all events booked by non-College groups.
Tables and Decorations
The client is responsible for acquisition of tables and chairs when they are not already on location. Please contact the Sarah Tolley, Buildings and Grounds department, at 434/223-6159 to make these arrangements. Table decorations are not included in the cost of a catered function. The Catering Director will, however, be happy to purchase flowers and candles for you.
Cancellations
All cancellations of catered events should be made no less than 48 hours before the scheduled event. An event that is not cancelled within the time limit, will incur a $25.00 charge in addition to the cost of any food or beverage, which has been prepared.
