The Office of Marketing and Communications has final approval authority over all publicity materials produced for or displayed on behalf of the College. Materials that do not meet College standards, branding requirements, accessibility guidelines, or other applicable College polices may be revised, delayed, or declined.
All publicity materials must adhere to the following requirements:
- Design Requests: Requests for posters, flyers, and other designed marketing materials must be submitted at least 15 business days before the event date.
- Print-Only Requests: Files that are already designed and require printing only must be submitted at least 7 business days before the event date to allow adequate production time and promotion.
- Appropriate Content: Publicity materials must be appropriate for a campus community that includes students, faculty, staff, children, alumni, and visitors. Materials may not contain references to or depictions of illegal drugs, alcohol (except when directly related to an approved College event), weapons, violence, or other content deemed inappropriate for public display.
- Respectful Communication: Materials must be respectful and free from offensive language, discriminatory content, negative stereotyping, or humor that targets or demeans individuals or groups.
- Client Responsibilities: The requesting department or organization is responsible for:
- Carefully proofreading and approving all content before production.
- Posting materials only in approved campus locations.
- Removing publicity materials promptly following the conclusion of the event.
- Accessibility: AI-generated images may not be used as the sole visual element in publicity materials intended for digital distribution unless they meet accessibility requirements. The Office of Marketing and Communications may require alternative imagery or additional accessibility accommodations to ensure compliance with ADA standards.
